The Volunteer Experience Coordinator position is an opportunity to join a mission-focused team that recruits and rally’s our volunteers daily in helping to solve hunger together within our community.

At the direction of the leadership team, the Volunteer Experience Coordinator is responsible for implementing, planning, and executing all volunteer program activities. They will be responsible for the recruitment, orientation, scheduling, and training of community volunteers. They will demonstrate strong management, communication, and relationship development skills. They work collaboratively within the organization to provide a high level of customer service.

Job responsibilities

Volunteer Engagement Coordinator Responsibilities:

-Create and maintain job descriptions/duties, volunteer handbook; group sign-in sheets; and other paperwork for volunteer positions at the food bank.
-Develop, host, and lead volunteer orientation sessions (in-person and virtual).
-Execute and manage all volunteers needed for internal/external events.
-Respond to all inquiries regarding volunteering. Conduct interviews, orientations, and tours as needed.
-Maintain operations volunteer calendar, including schedules, updates, and cancellations. Communicate changes as necessary.
-Collaborate with Communications to advertise volunteer opportunities through the media, newsletters, and websites. Maintain up-to-date volunteer opportunities through print brochures and websites.
-Work with the supervisor and appropriate staff to address any problems that arise. Coordinate with supervising staff to dismiss volunteers when necessary. Maintain incident reports completed by the team.
-Maintain and monitor photo release form data for group and event volunteers.
-Use Volunteer Database to track and communicate with individual volunteers. Ensure required maintenance.
-Maintain monthly and annual statistics regarding the number and hours of volunteers and provide them when required.
-Support recruitment and assist with retention strategies of volunteers for projects throughout the organization.
-When scheduled, oversees Saturday volunteer and warehouse operations. Responsible for opening and closing duties per all associated safety and operational procedures.
-Perform other duties as needed to fulfill our mission, drive our vision and abide by our values.

Group and Individual Volunteer Program:

-Recruit and support corporate, civic, religious, member agency, and youth groups to volunteer at the food bank.
-Collaborate with Development, Marketing & Communications Departments to ensure staff are aware of corporate partners volunteering in the facility and ensure appropriate orientation, recognition, and media opportunities around corporate service.
-Recruit, schedule, and communicate with volunteers for special events as required.
-Provide backup for day-to-day volunteer groups and project rooms as necessary.

Program and School Service Volunteer Program:

-Recruit and support programs and school volunteer services, such as Key Clubs, Honor Society, or other school groups. Maintain a positive working relationship with program representatives.
-Conduct interviews, assess service requirements, complete progress reports, and provide required forms after service.
-Keep up to date of rules, time requirements, and dismissal guidelines for volunteers.
-Maintain clear, accurate files of all program and school service volunteers to provide additional documentation when required.

Volunteer Recognition:

-Create an annual recognition event.
-Collaborate with department staff to coordinate annual volunteer appreciation events or initiatives for core individuals, groups, and mobile pantries.
-Oversee volunteer appreciation and recognition efforts.

Application qualifications

Education and/or Experience of Volunteer Coordinator:
-High School diploma/GED or equivalent experience
-1-2 years of administrative/order entry and customer service experience preferred.
-Knowledgeable in Microsoft Excel, Word, and Outlook
-Ability to train and lead a group of individuals.
-Strong organizational, interpersonal, and relationship management skills
-Strong public speaking skills
-Ability to perform basic math functions, to count accurately and maintain accurate records.
-Strong problem-solving skills.
-Detail oriented.
-Ability to work with people of diverse backgrounds.
-A commitment to full and visible participation as a hunger relief leader in the community.
-Strong analytical thinking, problem-solving skills, and ability to think creatively.
-Demonstrated ability to adapt to change and work in a fast-paced environment with multifaceted demands.
