The Community Relations Coordinator is an integral team member of Food Bank of the Rockies, creating the organization's first impression while supporting the growth of philanthropic support, community engagement, and volunteerism. It provides administrative and receptionist support for the Western Slope Etkin Family Distribution Center while charged with ensuring success in three broad areas: fostering and cultivating relationships with communities, volunteers, partners, and supporters to grow a vibrant and effective network of community support; discovering opportunities within Western Colorado and effectively communicating and coordinating these with the Development team. The position will collaborate with a team of professionals and volunteers to develop and implement comprehensive development strategies focused on strategically stewarding, creating, and managing volunteer and community relationships that leverage financial and in-kind support.
Primary Responsibilities:
Receptionist and Office Coordination:
• Greet all building visitors upon arrival and direct them to the appropriate location providing excellent customer service and professionalism
• Respond to calls, voicemails, and emails promptly
• Maintain strong working knowledge of daily operations and available resources for Food Bank of the Rockies Western Slope Distribution Center
• Manage the scheduling of all meeting rooms for the distribution center, and keep meeting rooms orderly in between meetings
• Receive intra-organizational deliveries and route to the intended recipient
• Coordinate printer and postage machine maintenance and service requests
• Place office supply orders and maintain accurate, up-to-date inventory and organization of the office supplies
• Monitor expenses per the budget and uphold accurate record-keeping practices
• Monitor the usage of company vehicles and maintain sign-out binders
• Create and maintain check-out/in processes for key fobs, signage, tents, cameras, tablecloths, display set-ups, etc.
• Oversee SER SCSEP and skilled volunteers supporting daily functions of the front desk
People & Culture:
• Prepare office space for onboarding staff to include cleaning desk and IT set-up
• Assist new employees with business card and nameplate orders (managing the intake process)
• Maintain inventory and process orders for stationery and office related items
• Maintain confidentiality of sensitive and private neighbor and employee information
• Coordinate and schedule staff recognition events
• Coordinate staff meals, celebrations, and functions
• Coordinate the purchase and delivery of misc. staff gifts; i.e., cards for major life events
Volunteer Coordination:
• Coordinate with the Community Engagement Coordinator, maintain Food Bank of the Rockies s volunteer management program including volunteer records, schedules, files, data, and monthly reporting requirements
• Ensure a positive volunteer experience by:
o Creating excellent first impressions of Food Bank of the Rockies by welcoming volunteers
o Providing timely pre- and post-shift communications to volunteers outlining policies, expectations, stewardship, and soliciting feedback about the volunteer experience
o Coordinating flow of incoming volunteers with internal departments for daily assignments
o Managing incoming calls, scheduling, and confirming individuals and groups alongside the Corporate and Events Officer
• Participate in the overall planning and execution of the Western Slope Development Strategy regarding volunteers, including recruitment and retention efforts
• Monitor and troubleshoot issues that arise with volunteers, strategizing to reduce or eliminate future issues
Development and Community Engagement:
• Support the Development Team with creating, researching, and updating proposals, donor bios, and briefs ahead of donor visits
• Coordinate with the Development Coordinator and volunteers, ensure timely execution of donor acknowledgments and stewardship
• Participate in ongoing Moves Management as it pertains to in-kind/monetary donors and volunteers
• Manage and expand Food Bank of the Rockies virtual and in-person physical food drive programs by:
o Acting as a resource and resident expert on the food drive peer-to-peer platform
o Assisting donors and supporters in setting up and executing successful campaigns using our online system as well as supplying support materials and logistical planning
o Regularly communicating and coordinating with Operations and Transportation teams regarding the logistics of physical food drives
o Developing, evaluating, and maintaining a Food Drive policy and resource manual in conjunction with the Denver CE Team
o Generating monthly activity reports to track virtual and physical food drive activities
Administration
• Support internal and external event execution, coordination, and logistics
• Work as a cross-functional team member to promote Food Bank of the Rockies’ message to volunteers, potential donors, community and staff
• Process donations and produce donation reports in collaboration with the Finance and Development Data Systems teams
• Create, refine, and implement standard operating procedures to enhance team efficiency

Required Qualifications:
• Bachelor’s degree in a related field from an accredited college or university, or equivalent work experience
• Three (3) years or more of fundraising and/or event planning experience preferred with an emphasis on events, volunteer coordination, promotions, and cause-marketing in a non-profit setting
• Experience in Raiser’s Edge CRM or similar CRM is preferred and knowledge and experience-in peer-to-peer platform Classy highly desired
• Experience in donor research or writing proposals a plus
• Proficiency using Microsoft Office Suite, especially Word, Excel, Outlook

Expected Hours of Work:
This is a full-time, exempt position. Work schedules may vary each week and consist of weekdays, evenings, and Saturdays with limited flexibility to work remotely. Travel 5% or more working in the office or off-site. Daily schedules may vary and should maintain Food Bank of the Rockies core hours between 8am – 4pm.
