Description

As an Administrative Coordinator, you will be responsible for supporting the scheduling and administrative needs for multiple sites, as well as the vice president of the department. You will need to be highly organized and detail oriented, with the ability to play a fundamental role in managing multiple projects and schedules. The main responsibilities of the role are to maintain optimal office operations, including reception, clerical, purchasing, etc., as well as assisting the with current administrative needs.

Job responsibilities

Create and maintain detailed calendars and schedules, including organizing complex activities such as meetings, conferences, and department activities.
Prepare and attend key meetings keeping accurate, succinct minutes and coordination of deliverables.
Act as a liaison with internal departments and outside agencies, handling confidential, non-routine information and explaining policies when necessary.
Establish, maintain, and update online and office filing system across a large team and multiple program efforts, retrieving and archiving files/information as needed.
Coordinate and support finances to ensure timely and thorough planning and execution of purchases and maintain accurate invoicing and expense tracking.
Coordinate organization and maintenance of office, storage, and supply closet spaces, including effective utilization and accurate inventory of all program materials.
Oversee the completion of internal and external reporting deadlines ensuring timely completion of all action items.
Work independently and within a team on to manage special projects.
Other duties as assigned associated with office management, including filing, creating memos and reports, performing other clerical duties while ensuring effective workflow.

Application qualifications

High school diploma or equivalent and at least three years in an administrative level position.
Background in nutrition and/or education a plus.
Positive, can-do attitude, excellent communication, interpersonal skills, superior judgment, confidentiality, professionalism, and poise.
A high degree of self-motivation and the ability to work well on a team and learn new concepts quickly.
Technical aptitude (Microsoft Word, Excel and PowerPoint) • Must be able to carry bulk materials as necessary, up to about 40 pounds.
