Position Description

The Director of Distribution is charged with the oversight of all distribution center related activities (e.g., vehicle fleet, building maintenance and staff). This person is responsible for ensuring the organization’s success in the areas of responsibility outlined below.

The following is a list of major duties and responsibilities for this position. It is not all-inclusive. Other duties and responsibilities may be added as needed and, in addition, management as appropriate may modify this job description.

Job Responsibilities

Essential Duties and Responsibilities (IMPORTANCE; FREQUENCY)

1.       Direct all distribution center activities  

a.       Oversee adherence to all Feeding America, CFB, and other applicable regulations and guidelines. (5; 5)

b.      Oversee all aspects of USDA program (e.g. menu, ordering, reporting, agency allocations & compliance)  (5;5)

c.       Oversee utilization and maintenance of fleet and facility (5;5)

d.      Serve as agency liaison to CAFB, USDA, Feeding America and others related to acquisition, storage and distribution of donated, purchased and other product (e.g. Farm to Family, Cluster Choice) (5;5)

2.       Oversee Distribution Center employees and volunteers

a.       Hire, train, set goals, and evaluate performance. (5; 4)

b.      Supervise and enforce employee guidelines for paid and unpaid staff.  (5; 5)

c.       Provide teambuilding and ensure timely recognition for paid and unpaid staff.  (5; 5)

d.      Ensure that all distribution center staff and volunteers adhere to Feeding America food safety/handling and other relevant procedures including customer service.  (5; 5)

3.       Information and budget management

a.       Coordinate and manage the collection, analysis, and distribution of agency and industry data and information. (5; 5)

b.      Ensure timely and accurate reporting to funders, auditors, and other relevant stakeholders (e.g. QPR, receipting). (5; 5)

c.       Participate in the development and management of the annual operating budget. (5; 5)

4.       Engage in organization capacity-building activities

a.       Coordinate and oversee in the development, implementation, and evaluation of strategic and operational planning. (5; 4)

b.      Engage in and support resource development by actively seeking out potential resources in the community. (4; 3)

c.       Assist in event planning and other fundraising/community outreach activities. (4; 5)

d.      Represent and advocate for the organization in the community and at the regional level. (4; 5)

e.      Assume leadership roles to represent the CFB at the regional, state, and national levels. (4; 5)

f.        Coordinate and oversee the development of internal and external emergency plans. (5; 3)

g.       Create continuity plans including documentation for future sustainability (5; 3)

h.      Serve as staff liaison for Operations committee and attend Board and committee meetings as needed 

i.         Attend and, when applicable, lead staff meetings. (4; 4)

5.       Provide excellent customer service to all CFB customers including CFB clients, vendors, staff, donors, logistics personnel, cluster agency personnel, volunteers, and board members

a.       Engage in the following tasks or behaviors that represent excellent customer service to the CFB: timely responses, punctuality and attendance, treating others with respect, distributing quality product, being knowledgeable and providing accurate information, and using appropriate non-verbal and verbal communication. b.      Assume the functions and duties of direct reports as needed. (5; 4)

c.       Participate in receiving and distribution activities as needed. (5; 5)

d.      Other duties as assigned (5:2)

(IMPORTANCE)

1.       Bachelor’s degree in related field (3)

2.       Five years of experience in managing facility and fleet management and demonstrated ability to effectively lead a team of people (5)

3.       Knowledge and experience with logistics, inventory, distribution, and operations (5)

4.       Knowledge of all relevant local, state and national laws and regulations  (5)

5.       Ability to effectively communicate (written and oral) and work well with a variety of stakeholders from different socioeconomic and cultural backgrounds (5)

6.       Willing and able to travel for the organization and work beyond normal working hours when necessary (5)

7.       Intermediate math skills  (add, subtract, multiply, divide, interpret data, diagrams, and schedules) (4)

8.       Proficient with computers (word processing, spreadsheet, email) (5)

9.       Must have valid CA driver’s license with good driving record (5)

10.   Must have forklift operation certification (5)

11.   Ability to adapt to quickly changing business environment including learning and applying new training and knowledge (5)

12.   Demonstrated ability to problem solve, analyze data, make good decisions, and manage projects (5)

Preferred Qualifications: Previous experience and knowledge of food distribution, fleet management and inventory control

Physical Requirements:

The physical demands described here are representative of those that must be met by an employee to successfully perform essential functions of this job. Reasonable accommodations will be made in accordance with ADA to enable individuals with disabilities to perform the essential job functions.

This position is located at a warehousing/distribution facility. With warehouse and truck traffic in the facility and grounds, a few steps to walk up into the facility and product stacked and stored throughout, this position requires someone who is mobile and who can watch for traffic and normal hazards of a warehouse environment. While performing the job duties of this job, the employee is regularly required to sit, talk, and hear. The employee frequently is required to stand, walk and/or reach with hands and arms. The employee must regularly lift and/or move up to 25 pounds and occasionally lift and/or move more than 50 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus. Must be able to use a computer to track detailed data, write reports and receive information; must be able to communicate by phone and in person; must be able to drive to and from meetings, events, and to run errands.
